Information we collect

We collect the following kinds of information.

• Information you give us. Your name, email address, phone number and address; the contents of resumes and documents you upload (work history, education and skills); your job preferences, such as roles, locations and salary; the details employers ask for when you apply, such as your date of birth, work authorization, visa sponsorship needs and security clearance; answers you give to employers' application questions; and the answers you give in onboarding and in interview practice.
• Optional equal-opportunity answers. Employers often ask about gender, race or ethnicity, veteran status and disability. Answering is always optional, you can choose "I'd rather not say", and we only pass an answer to an employer whose application asks for it.
• Interview audio. When you start a live Interview Copilot session, the app uses your microphone to hear the interview (see Interview and meeting audio).
• Information from services you connect. If you sign in with Google, we receive your name, email address and profile picture. If you separately choose to connect your Google Calendar, we read your upcoming events (see Google Calendar below for exactly what and why). We never request access to your Gmail or Drive.
• Information collected automatically. Usage and device information, and diagnostic logs and crash reports (through Sentry) that help us find faults.

How we use it

• To read your resume and fill in your profile for you.
• To find and rank jobs that match your profile and preferences.
• To apply to jobs on your behalf when you use Auto-Apply, filling in each employer's application with your details (see Applying to jobs for you).
• To give you live suggestions during interviews you choose to run with Interview Copilot.
• To process payments, keep accounts secure, find and fix faults, and communicate with you about your account.

We do not sell your personal information, and we do not use it for advertising profiles.

AI providers

Several features rely on AI models run by other companies. The Jobwhisper mobile app asks for your permission before any of your information is sent to them, and sends nothing until you agree.

• What we send. The parts of your information a feature needs: your resume and documents, your profile and job preferences (including any equal-opportunity answers you chose to give), employers' application questions and job descriptions, and, during a live Interview Copilot session, the interview audio and its transcript.
• Why. To read your resume, match and rank jobs, answer employers' application questions when you use Auto-Apply, and produce live interview suggestions.
• Who. OpenRouter, which routes our requests to models from OpenAI, Anthropic, Google (Gemini), Moonshot AI (Kimi) and Alibaba (Qwen); OpenAI directly, for live transcription and as a backup; and ElevenLabs, for live transcription.
• How it is protected. These providers process your information only to provide their service to us, under terms that require them to protect it to a standard at least equal to this policy. Our OpenRouter account only routes to providers that do not train their models on the data we send.

Applying to jobs for you

When you use Auto-Apply, Jobwhisper submits an application to the employer you chose, through that employer's hiring system (for example Greenhouse, Lever, Ashby, Workday, SmartRecruiters or Workable). The application includes your name, contact details, resume and the answers that employer asks for. Once it is submitted, the employer handles your application under its own privacy policy.

To finish applications, we give you a Jobwhisper application email address. Messages employers send to it, such as verification codes, are read so we can complete the application and show you the outcome.

Interview and meeting audio

Jobwhisper's copilot processes audio only from sessions you explicitly start. During a live interview or meeting, audio is streamed to our transcription and AI providers to produce the on-screen assistance and is never written to storage; the conversation itself is not recorded. A text transcript is kept only if you turn on "Save transcript" for that session, and you can delete any session, along with its transcript, from your history at any time. Interview practice sessions, which you record to review your own answers, keep their recording until you delete the session.

Google Calendar

Connecting your Google Calendar is optional and stays off until you turn it on. When you connect it, Jobwhisper requests read-only access to your calendar (the calendar.readonly scope) and uses it for one purpose: to show your upcoming meetings, remind you shortly before one starts, and let you begin a meeting copilot with the meeting's title already filled in. We do not change your calendar, we do not research the people on it, and we never use this data for advertising or to train AI models.

We store only an encrypted Google token so the connection keeps working; the events themselves are read from Google when you view them and are not retained afterwards. Disconnecting Google Calendar in your settings deletes that token and ends our access. Jobwhisper's use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.

Sharing

We share information only as this policy describes:

• with the AI providers listed in AI providers;
• with employers you apply to through Auto-Apply, as described in Applying to jobs for you;
• with service providers who run parts of Jobwhisper for us: hosting and storage (DigitalOcean and Cloudflare), payments (Stripe), email (Resend and Mailgun) and error monitoring (Sentry), under terms that limit them to providing that service and require them to protect your information; and
• where the law requires it.

Retention and deletion

We keep information for as long as your account is active. You can delete your account from your account settings, which removes your personal information subject to any records we must keep for legal or accounting reasons.

Your rights

Depending on where you live, you may have the right to access, correct, export or delete your personal information, and to object to certain processing. You can access and correct your details, and delete your account, directly in your account settings. To request a copy of your data or to object to specific processing, email [email protected]; we respond to verified requests within 30 days.

Security

Data is encrypted in transit and at rest, access to production systems is restricted and logged, and tokens for services you connect (such as your Google Calendar token) are encrypted with keys kept separately from the data. No system is perfectly secure; if a breach affects your personal information, we will notify you and the relevant authorities as the law requires.

Children

Jobwhisper is not intended for people under 16, and we do not knowingly collect their information.

Changes to this policy

We will post any changes here and update the date at the top of the page. Material changes will be notified to you directly.
